Automatically nudge customers to confirm before their hold date expires — no manual follow-up required.
What it does
Auto Reminder sends automated emails to customers as their booking hold date approaches, prompting them to confirm before the offer expires. Reminders go out on a schedule you define (for example, 3 days before, 1 day before, and on the deadline itself), so bookings aren't lost to forgotten deadlines.
Why use it
- Recovers bookings that would otherwise lapse when customers forget the deadline.
- Removes manual chasing from your team's workload — the system runs daily and sends reminders on its own.
- Improves conversion by giving customers time to gather approvals and act.
How it works
- When a booking has a hold date set, MeetingPackage checks daily how many days remain until that date.
- If the remaining days match one of your configured reminder days, the customer receives a reminder email with a one-time login link straight to their booking.
- Approaching reminders (e.g. 7, 3, 1 days before) use an advance-notice message; the deadline day (day 0) uses a final, more urgent "last chance" reminder.
- Each reminder day is tracked so the same reminder is never sent twice for the same hold date.
Configuring the schedule
Reminder timing is set as a comma-separated list of days before the hold date. Common examples:
3,1,0— 3 days before, 1 day before, and on the deadline7,3,1,0— earlier first notice, then progressive reminders0— final-day reminder only
Good to know
- Reminders only apply to bookings with a hold date; bookings without one follow a different confirmation flow.
- Manually created orders are excluded from automated reminders.
- Emails respect the customer's language and any white-label branding on the booking.
